Why it matters

Senior living visitor screening — who comes through the door

A senior living community screens its own staff. Much of the traffic through the front door is not staff: family and friends, private-duty aides hired by a resident’s family, hospice and home-health workers employed by other agencies, therapists, hairdressers, contractors and vendors. Residents in memory care or with limited mobility are among the people least able to protect themselves, and the visitor log is often the only record of who was in the building.

A registry check at sign-in gives the front desk an answer for each of them in the time it takes to print a badge — across 58 US registries, so a person registered in another state is not missed. For the people who come every week, a monitor keeps watching between visits.

Some senior living visitor products bundle a screening step of their own. This page is for the teams who need that step as an API: operators running their own sign-in, senior living and EHR software companies adding a visitor module, and visitor management vendors serving care settings.

Workflow

Senior living visitor management workflow — kiosk to resident room

  1. 01Sign-in at the kiosk or desk with an ID; the barcode supplies name and date of birth.
  2. 02Your own lists first — residents’ do-not-admit requests, banned visitors, guardianship orders. Those stay in your system.
  3. 03One call to POST /v1/search with firstName, lastName and dob.
  4. 04Completeness check: counts.sourcesIncomplete above zero means the answer is not yet known — the desk holds rather than admits.
  5. 05No candidates: badge printed with the resident or unit being visited; searchId logged.
  6. 06A candidate: a quiet alert to the executive director or charge nurse, with the registry photo and matchState.
  7. 07Identity confirmed against the photo and date of birth, privately.
  8. 08The community’s policy decides — a supervised visit in a common area, an escort, or a refusal — consistent with residents’ visitation rights.
Who to check

Visitor screening for third-party caregivers, vendors and family

Not every visitor needs the same check, and not every check belongs at the front desk.

Regulars

Caregiver monitoring between visits — the visitor screening API for regulars

A private-duty aide who visits five days a week should not be a stranger to the system. A person monitor is checked continuously and alerts you when a registry status changes.

curl https://api.offendersearch.app/v1/monitors \

    "channels": {
      "webhookUrl": "https://vms.example.com/hooks/screening"

  }'

$3 a month per person for one dataset — a registry and a criminal monitor on the same person are two monitors. Alerts go to an email address or your webhookUrl, and stay one thread for the person even when a registry renumbers its listing. See monitoring.

Hospitals

Hospital visitor screening and healthcare visitor management

Hospitals set visitor policy unit by unit. Where a hospital’s own policy calls for a registry check — commonly on units with children, newborns or patients who cannot speak for themselves — the visitor desk can run the same call: name and date of birth from the ID, an answer across 58 US registries, a quiet alert to security or the charge nurse on a possible match.

The registry check runs on the visitor, not the patient, so no patient information is sent to the API. For organisations that need one, a BAA is available on eligible enterprise accounts — see HIPAA and BAA. Patient-facing screening of staff and admissions is covered on sex offender screening for healthcare and home care.

Rules

Senior living visitor screening rules and residents’ visitation rights

No federal statute requires a care community or a hospital to screen visitors; visitor screening is set by state law and the operator’s own policy. Nursing homes also have to respect residents’ rights: federal rules give a resident the right to receive visitors of their choosing, subject to reasonable clinical and safety restrictions (42 CFR § 483.10(f)(4)). A good policy therefore says what a confirmed match changes — often a supervised visit rather than a blanket refusal — and counsel should shape it.

Separate rules apply when a registrant is admitted as a resident, and some states set duties there; that is resident screening, covered on sex offender screening for elder care and assisted living and does a nursing home check for sex offenders?. California restricts how Megan’s Law information may be used unless the use protects a person at risk or another law authorises it (Penal Code § 290.46(j)).

Making a hiring decision? Use an FCRA workflow.

FCRA workflows are built primarily for tenant screening and hiring decisions. If a result will help decide whether to hire someone, the check has to run as an FCRA-regulated consumer report, with a permissible purpose, consent, accuracy controls and a dispute path for the person. Our standard search and API are not a consumer report. FCRA workflows run through FCRA Partner Access, for background check companies and screening platforms under a written FCRA agreement.

FCRA pricing is quoted per partner, so contact us for pricing.

FAQ

Senior living visitor screening API questions

Do assisted living communities screen visitors for sex offenders?

Some do, as a matter of policy; no federal statute requires it. Communities that screen usually check private-duty caregivers, vendors and regular visitors at sign-in, and monitor the people who come every week.

What does the visitor have to provide?

Name and date of birth — both on a driver’s licence barcode. The date of birth is what tells one person apart from others with the same name.

Can we refuse a visitor who is on a registry?

That is a policy and legal question for your community. In nursing homes, residents have a federal right to receive visitors of their choosing subject to reasonable clinical and safety restrictions, so many policies use supervised visits. Have counsel review the policy.

How do we screen private-duty aides hired by families?

Run a registry check at their first sign-in and put them under a $3-a-month person monitor, so a registry change between visits reaches you without waiting for the next check-in.

Is patient information sent to the API?

No. The check is on the visitor — their name and date of birth. A BAA is available on eligible enterprise accounts for organisations that need one.

Can hospitals use the same API at the visitor desk?

Yes. Any system that can make an HTTPS request can call it, so a hospital visitor desk can run the check on the units where its policy requires one.

How much does it cost?

$0.15 a registry check, $0.11 past 2,000 a month, and $3 a month for each person monitor. No seats, setup fee or minimum on the search API.

Do you also check criminal records?

Yes, on the same key and at the same per-call price. The criminal search returns jail bookings, prison custody, court cases, warrants and federal custody, and the site’s policy decides which record types matter.
